Who does NOT need a visa?
Citizens of all countries of the European Union, Switzerland, Croatia, Israel, Japan, Australia, New Zealand, most of the countries of North and South America, members of the Schengen treaty and some other countries do not need a visa.
Simply a valid passport is required to enter Austria. In case of doubt please contact the Austrian Consulate or Embassy well in advance before departure.
Current member countries of the Schengen treaty are:
Austria, Belgium, Bulgaria**, Croatia, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland*, Italy, Latvia, Liechtenstein*, Lithuania, Luxembourg, Malta, Netherlands, Norway*, Poland, Portugal, Romania**, Slovakia, Slovenia, Spain, Sweden, and Switzerland*.
* non-EU members.
** Schengen Air & Sea agreement.
Who needs a visa?
Travelers from other regions kindly consult the respective Austrian or Schengen-Partner representations regarding the current status. Travelers possessing a valid visa can travel freely within the Schengen zone for three months, enabled by a Schengen visa issued by any Schengen-treaty member country.

Visa Categories Choice
We recommend the ACL 2025 attendees who require a visa to attend the conference to apply for Visa C (short-stay visa). The Schengen visa C is intended for touristic, business or visiting purposes (without gainful employment) for a maximum stay of 90 days per 180 days.
The Schengen-Visa fee costs 90 €.
The fee is not required in some cases, you can find more details at the Federal Ministry Republic of Austria under the tab “Fees”.
Invitation Letter via Registration
You will be able to issue an invitation letter once your registration is complete. If you have applied for a registration waiver (e.g., as a student volunteer or D&I) but have not yet received the results, please proceed with your registration and select “wire transfer” as your payment method.

You can find the information about the registration here: https://2025.aclweb.org/registration/ At the end of the registration process, on the right-hand side of the screen there will be a blue button that reads Invitation Letter. Registered attendees can download from there.

Round 2 (ongoing): To support delays on submitting the invitation form due to missing documents or delayed acceptance notification for your paper (e.g., workshops), we will collect a new list of applications until June 1st, AoE.
Important note: We are expecting to open the registration during the week of May 19th (see https://2025.aclweb.org/registration/). Once the registration is open, you should register to automatically download an invitation letter through registration. The information provided through the form below serves as our channel of communication with the Vienna Convention Bureau and the embassy you apply for, to facilitate your application. The information in the form is important but optional, you will nevertheless get an invitation letter through registration.
Visa Appointment and Form
Based on the official information we received from the Vienna Convention Bureau, ACL 2025 is only allowed to provide an invitation letter in three cases: 1) to members of accepted workshops and tutorials, 2) authors of accepted papers, and 3) registered attendees in ACL 2025.
We understand that there might be significant delays to acquiring a visa appointment in Austrian embassies, and for this reason we are in coordination with the Vienna Convention Bureau to assist all international ACL 2025 attendees to ensure a visa appointment on time.

Round 1 (completed): It is important to submit your personal information by May 18th AoE and wait to receive the ACL 2025 inviation letter before submitting your visa documents to the Austrian embassy for an appointment.

Round 2 (completed): Deadline for submitting the form is June 1st.

There is an ongoing 3rd round for filling out the form to be included in the internal communication list with the Austrian embassies. However, for all visa applicants from June onward, there is no guarantee that you will be able to secure an appointment at one of the representative embassies due to the limited time and the heavy workload some embassies face during the high season.
- Round 3 (ongoing): Final deadline for submitting the form is June 17th AoE.

Extension of the stay in the invitation letter
Unfortunately, we cannot modify the dates in the invitation letter, which indicate the dates of the ACL event.
Acquiring a visa appointment
Unfortunately, we cannot book visa appointments nor we can guarantee of finding an appointment in the embassy of your preference.
We recommend regularly checking the embassy website for available appointment slots, as they may open up at any time. Alternatively, consider applying for visa in an another embassy.
Electronic letter of guarantee
We do not provide such a letter, however, the Austrian representative embassies have been informed that the conference is not responsible for covering the costs of attendees transportation, accommodation nor any activity outside of the beverages and food provided during the conference hours, which are 09:00-17:00 from July 27th to August 1st.
In case of visa rejection
In the unfortunate event that your visa gets rejected, we advice you to follow the cancellation policy of your registration.
